Night-Time Inquiries Going Cold? How to Capture Them Instantly and Score Buyer Intent

Night-Time Inquiries Going Cold? How to Capture Them Instantly and Score Buyer Intent

Overseas buyers message us in the middle of the night, and by the time we reply the next day many have gone quiet. How can we capture those inquiries automatically and judge buyer intent?

Have an AI sales agent reply the moment the buyer writes, in the buyer’s language, answering the actual question. Let it ask about product, quantity, destination, timing and buyer type as the conversation flows, then tag each inquiry high, medium, low or invalid based on observable signals. Your sales team starts the morning with a ranked list and full transcripts instead of a pile of unread messages.

Why do buyers go quiet if we reply the next day?

Because interest decays within hours. Harvard Business Review’s 2011 study “The Short Life of Online Sales Leads” audited 2,241 US companies: firms that contacted a lead within an hour were nearly seven times as likely to qualify it as those that waited longer. The average first response took 42 hours, and 23% of companies never responded (Harvard Business Review, 2011).

The often-quoted “21 times more likely to qualify if you respond in 5 minutes versus 30” comes from a different source: the 2007 Lead Response Management Study by InsideSales.com and MIT researcher Oldroyd. It measures qualification, not orders (InsideSales.com / MIT, 2007). Keep the two apart when you cite them.

For exporters, time zones make it worse. A German buyer’s 9 p.m. message lands in China in the early hours, and that buyer has usually written to several suppliers at once. Buyers also arrive better prepared: Gartner surveyed 645 B2B buyers in May 2026 and found 45% had used generative AI in a purchase and 69% would check AI-provided conclusions with a sales rep (Gartner, 2026). They want someone who can confirm specs and lead time now.

What extra problem does a next-day reply cause on WhatsApp?

You may be outside the 24-hour window. Every buyer message reopens a 24-hour customer service window; inside it you can send free-form messages, outside it only pre-approved template messages (Meta developer docs). An inquiry that arrives at 2 a.m. and is handled at 3 p.m. the next day needs a template message just to restart the conversation. Meta has charged per message since July 1, 2025, and templates are billed (Meta developer docs). Several official partners (respond.io, Gupshup) reported in September 2026 that service messages inside the window become chargeable from October 1, 2026, with the first 1,000 per number per month free—check Meta’s official pages for the current rules. Buyers coming from Click-to-WhatsApp ads or a Facebook Page button get a 72-hour free entry window, and Messenger also has a 24-hour standard messaging window (Meta developer docs). How do auto-replies, a night shift and an AI sales agent compare?

Step 1: How do you capture an inquiry rather than just auto-acknowledge it?

The test is simple: the first reply answers what the buyer asked.

  • Reply instantly, while the buyer is still on their phone.
  • Reply in the buyer’s language.
  • Answer first, then ask one question.
  • Say when a human will follow up and ask for a company name or email.
  • Do not go beyond your data; leave final prices and delivery commitments to people.

Step 2: Which needs should be clarified?

  1. Product: model or key specs, drawings or photos.
  2. Quantity: trial order or volume, annual usage.
  3. Destination: port, Incoterms, local certification needs.
  4. Timing: required delivery date, project stage.
  5. Buyer type: importer, distributor, end user, trader or competitor.

Ask one or two at a time. More on qualification design in how to auto-qualify inbound B2B leads.

Example: a German buyer at 2 a.m.

Buyer (in German): Can your 100-ton four-column hydraulic press run on 400V? Is it CE certified?

AI agent (in German): Yes—standard is 380V and it can be configured for 400V/50Hz; the machine is CE certified and we can send the certificate. Is it for your own use or resale? How many units?

Buyer: We’re a distributor. Two sample units first, delivered to Hamburg before year-end.

AI agent: Understood. Our sales rep starts at 9 a.m. Beijing time and will prepare a quote for two units to Hamburg. Could you share your company name and email?

Model, voltage, certification, quantity, port, timing and buyer type are all captured: a high-intent inquiry.

Step 3: How do you score intent?

Typical signalsMorning action
HighSpecific model + quantity + timing or port; asks about payment, samples, factory audit; importer or distributor with a projectFirst reply of the day; human prepares quote
MediumPrice only, no details; asks for catalog; vague quantityFollow up same day to fill gaps
LowNext-year plans; wants materials onlyAutomated follow-up cadence
InvalidMass price-comparison templates; job seekers; SEO or logistics pitches; competitors fishing for pricesArchive

Adapt the signals to your industry. A practical start: ask your best rep to label 50 past inquiries with reasons, use that as version one, then compare the AI’s tags with the rep’s and refine.

What should the sales team see in the morning?

A ranked list, each entry showing the intent tag and why, buyer profile, needs captured and missing, what the AI already answered, time left in the WhatsApp window, and a suggested next message.

When is this not worth doing?

  • A few inquiries a week: phone notifications are enough.
  • Inquiries mostly by email: the AI does not auto-reply to email.
  • Fully custom engineering work: the AI should capture needs, not answer technical details.

How does DeepSales handle after-hours inquiries?

DeepSales is Singoo Cloud’s done-for-you AI Sales Agent. Our team builds and runs it from your product data, pricing rules and your top reps’ past conversations. It covers website live chat, WhatsApp, WhatsApp Business API, Facebook Messenger, Instagram and LINE on your own accounts, follows the buyer’s language and reads images. It does intent recognition and tagging, AI background checks on buyer companies, automated follow-up, alerts for WhatsApp windows about to close, and scheduled morning reports in Feishu. Final prices, negotiation and delivery commitments stay with people; email inquiries are visible in the platform but answered by humans; voice and PDF/Excel parsing are in development. Book a demo and we’ll run a sample 2 a.m. conversation on your own catalog.

FAQ

Is an auto-reply like 'we'll get back to you' good enough for night inquiries?
Usually not. A buyer comparing several suppliers treats a generic acknowledgment as no answer. The first reply should address the actual question, in the buyer's language, and ask one useful follow-up.
What happens if I reply to a WhatsApp inquiry after 24 hours?
The customer service window has closed, so you can only send a pre-approved template message, which is billed per message by Meta, and wait for the buyer to reply before chatting freely again.
How do I tell a high-intent inquiry from a price-fishing one?
Look for specifics: a model or spec, a quantity, a delivery date or port, and a clear buyer type. Price-only messages with no details are medium at best; mass comparison templates and competitors fishing for prices are invalid.
Is the 21x faster-response statistic from Harvard Business Review?
No. The 21x figure comes from the 2007 Lead Response Management Study by InsideSales.com and MIT researcher Oldroyd. HBR's 2011 study found firms contacting leads within an hour were nearly 7 times as likely to qualify them.
Can the AI reply to email inquiries at night too?
Not in DeepSales. Email inquiries can be viewed and managed in the same platform, but replies are written by people. Automatic replies cover website chat, WhatsApp, WhatsApp Business API, Messenger, Instagram and LINE.
