General AI customer service or an AI Sales Agent: which is better for B2B inquiries on WhatsApp, website chat and email?
For B2B inquiries on WhatsApp and website chat, an AI Sales Agent is usually the better fit: it follows a sales process, asks about specs, quantity, MOQ and lead time over several turns, watches the WhatsApp 24-hour window, and hands off before negotiation. General AI customer service suits after-sales and standard questions. Email needs a separate look, because many products, including DeepSales, do not auto-reply to email.
How is this different from our earlier comparison?
The earlier post covers the general difference: one serves people who bought, the other serves buyers who haven’t. This one puts the same B2B inquiry into three channels and asks what each approach runs into.
What rules apply to WhatsApp inquiries?
Windows and per-message fees. Each buyer message reopens a 24-hour service window; outside it only approved templates can be sent; Click-to-WhatsApp ads and Facebook Page buttons open a 72-hour free entry window. Meta moved to per-message pricing on 1 July 2025 (Meta developer docs). Several BSPs (respond.io, Gupshup) reported in September 2026 that from 1 October 2026 in-window service messages are charged, with the first 1,000 per number per month free — check Meta’s official page. Messenger also has a 24-hour window. Meta also bans services whose main function is a general AI assistant (all users from 15 January 2026), while AI serving a business’s own customers remains allowed (TechCrunch, 2025). A sales agent should know when a window is closing; a reply-per-message bot usually doesn’t.
What is different about website chat?
Visitors are anonymous and leave fast. Speed matters: an HBR audit of 2,241 US companies found firms contacting leads within an hour were nearly seven times as likely to qualify them, average first response was 42 hours, and 23% never replied (Harvard Business Review, 2011). A 2007 InsideSales.com study with MIT researcher Oldroyd found responding within 5 minutes versus 30 made qualification about 21 times more likely. The AI must give a useful answer first, then collect contact details and key requirements. A system that only answers questions leaves nothing behind once the visitor closes the tab.
What is different about email?
Email is the heaviest channel and often looks more like a small tender than a chat: long text, attachments, RFQ lists with many line items, formal quotes. It moves in hours and days, not minutes, and one wrong auto-quoted price costs far more than a wrong chat line. See RFQ quoting.
How do B2B inquiries differ from retail questions?
- Several rounds before the request is clear
- Specs, materials, certifications
- MOQ, samples and sample lead time
- Tiered pricing, Incoterms, payment terms
- Several decision-makers in one thread
- Time zones and many languages
How do the two compare by channel?
| General AI customer service | AI Sales Agent | |
|---|---|---|
| Goal | Resolve and close the conversation | Qualify, advance the sales process, hand to a rep |
| Message-by-message replies; usually ignores the 24-hour window | Multi-turn questions; flags closing windows | |
| Website chat | Answers FAQs | Answers, then collects contact details and tags intent |
| Some products auto-reply, mostly templated | Varies; check each vendor. DeepSales does not auto-reply to email | |
| Specs and price | FAQ documents | Product fields; quotes via rules and human approval |
| Handoff trigger | Complaints, unknown answers | Rules on intent, tags and signals; negotiation always human |
| What the rep receives | Transcript | Profile, summary, funnel stage, trigger reason |
When is general AI customer service enough?
- Standardized products and questions with fixed answers
- Low volume, reps available in working hours
- The main pain is after-sales tickets, not missed inquiries
- You already own a service system and just need a WhatsApp entry point
In these cases, making better use of the tool you already own is usually cheaper than switching.
What if 80% of our inquiries arrive by email?
Evaluate honestly, and don’t let the word “omnichannel” carry the decision. Ask whether the AI replies to email or only collects it for people. DeepSales has an email management module so email inquiries sit alongside other channels, but they are handled by people; the AI does not auto-reply to email. If most of your inquiries are email and instant channels are small, the AI auto-reply covers only a small part of your volume. In that case, judge the vendor mainly on how well email management and the quoting workflow fit your team. If you are steering buyers to WhatsApp and website chat — a chat button on every product page, a WhatsApp link in email signatures — that share grows, and so does the part the AI can take on.
Does the chat history follow a handoff?
It should. China’s GB/T 47746–2026 (recommended standard, effective 1 September 2026) says human-AI handoffs should carry identity and history so customers don’t repeat themselves, and companies are responsible for what their AI says (Xinhua, 2026). Gartner’s 2026 survey of 645 B2B buyers found 69% would verify AI conclusions with a sales rep.
How does DeepSales do it?
- AI auto-reply on six instant channels: website chat, WhatsApp, WhatsApp Business API, Messenger, Instagram, LINE — on your own accounts.
- Email managed in the same platform, handled by people.
- A standard five-stage sales flow, automatic tagging and follow-up, alerts for closing WhatsApp windows.
- Feishu handoff cards with profile, summary, stage, trigger and suggested reply; reps continue in the platform with the full history.
- Quote drafts need human approval; negotiation and final decisions stay with people.
